Accommodation

Standard rooms are equipped with two twin beds, based on double occupancy. Prices are calculated on two guests sharing a room. Single rooms may be available for an additional supplement, though availability is not guaranteed. Double beds and triple rooms can be arranged upon request, depending on the facility.

Tour Alterations

We reserve the right to adjust routes, schedules, or arrangements if conditions require. We may also decline, accept, or remove any participant from a tour at our discretion, if necessary for the comfort, safety, or well-being of the group.

Cancellations & Refunds

  • A full refund will be given for cancellations made in writing at least 60 days before the safari begins.
  • Cancellations are subject to fees charged by hotels, lodges, and banks. Typical charges are:
    • 50% for cancellations made 14–35 days before departure
    • 75% for cancellations made 2–14 days before departure
    • 100% for cancellations within 48 hours of departure
  • Gorilla permits are non-refundable, except in cases of illness (medical proof required).
  • All expenses already incurred will be deducted from any refund.
  • There will be no refund for unused services.

Complaints

If you have a complaint during your holiday, report it immediately to your driver/guide, our local representative, or Regency Travel and Game Trekking Ltd. We will make every effort to resolve the matter promptly.
If the issue remains unresolved, submit a written complaint within 30 days of completing your holiday. Claims submitted after this period will not be considered.

Liability

Regency Travel and Game Trekking Ltd. acts as an agent for passengers in all matters concerning accommodation, transport, tours, and related services. We are not liable for injury, delay, loss, or damage of any kind. Services may be provided by subcontractors.
Our liability is governed by the laws of the country in which the service is provided, and any legal claims will be handled in that country’s courts. While we take every precaution, we are not responsible for loss or damage to personal baggage.

Payments

  • Prices are quoted in US Dollars (USD).
  • Accepted payment methods include bank transfers, foreign currency cheques, cash (local or foreign), traveller’s cheques, and credit cards (subject to bank fees).
  • A 50% deposit is required at the time of booking (or at least 10 weeks before departure). The balance must be paid 30 days before the tour.
  • Bookings made within 30 days of departure must be paid in full at confirmation.

Reservations

When booking, provide your full name, itinerary, travel dates, number of travellers, room preferences, and flight details. This ensures we meet your requirements.

  • Gorilla trekking permits often require booking 1–12 months in advance, though last-minute permits may be available.
  • Children under 12 years cannot track chimpanzees; children under 15 years cannot trek gorillas.

Tour Price Inclusions

Tour prices include:

  • Transport as per the itinerary
  • Park entrance fees and permits (where stated)
  • Driver’s allowances
  • Third-party insurance

Tour prices exclude:

  • Accommodation and meals in Kampala (unless stated)
  • Travel insurance
  • Local departure taxes, visas, gratuities, alcoholic beverages, laundry, phone calls, and other personal expenses

Booking Transfers

If you cannot travel due to exceptional circumstances, your booking may be transferred to another person, provided arrangements and supplier approvals remain the same. Gorilla permits may be transferable in some cases.

Transport

Transport type depends on group size and route. Most safaris are in 4×4 minibuses with English-speaking driver/guides. German, French, or Spanish-speaking guides can be arranged on request.

Travel Insurance

We strongly recommend purchasing comprehensive travel insurance before traveling. Emergency evacuation cover within Uganda can be arranged on request.

Wildlife Viewing

Game viewing is in natural habitats and sightings cannot be guaranteed. A gorilla permit allows trekking to the gorillas’ known location but does not guarantee they will be visible. We encourage responsible tourism — take only photographs, leave only footprints.
